What
We have redesigned and introduced new functionality for Candidate progression from a Vacancy through to Placement. This process can be turned on for a subset of users by applying the Mercury - Can Progress Candidate (Update) security role.
Why
With this new feature we will be promoting best practice, which has resulted in removing the ability to progress multiple Candidates for one role. Some of the benefits of only progressing one Candidate are:
Focused attention - devote full attention to evaluating and engaging within a single Candidate.
By evaluating Candidates individually, Recruiters can make more objective assessments based on merit, qualifications and fit for the role, rather than being influenced by comparisons with other Candidates
- Improved quality of Hire - by concentrating resources on thoroughly evaluating and engaging with one Candidate, organisations can make more informed hiring decisions. This can result in the selection of Candidates who are not only qualified for the role, but who also possess the right skills, attitude and cultural fit to excel within an organisation.
Where
The Mercury button is available when selecting one Candidate by selecting the blue tick box, across a number of records within Mercury.
From a Vacancy record:
- Candidate tab > Shortlists section
- Related tab > Shortlists tab
From a Candidate Contact record:
- Candidate tab > Shortlists section
- Related drop-down tab > Shortlists (Candidate) tab
From a Client Contact record:
- Client Contact tab > Vacancies section > Open a Vacancy record

Substatus / Feedback
Progress a Candidate through Shortlist Substatuses and quickly create feedback if required.
NOTE: New Substatus options can be added via Mercury Admin > Config area > Shortlist Substatuses.
Users will be presented with a side panel where they will be able to select a Substatus linked to the status of the Shortlist, or any global Shortlist Substatus (Shortlist Substatus not linked to Shortlist Status):
Any text added into the Feedback will automatically create a Shortlist Feedback record when selecting Confirm:

Submit
When submitting Candidate(s) for a role, Recruiters will be shown a side panel where they can input the pay details for each Candidate.
Send CV by Email? toggle: Email the Hiring Manager for the Vacancy as part of Submission. Setting this to true will open the Email Editor in a new tab after clicking the Confirm button.
NOTE: Multiple Candidates can be submitted at once but are processed one at a time. Refer to the Processing 1 of X Candidates message and the Apply To Remaining toggle at the bottom of the panel.

Client Shortlist
NOTE: Multiple Candidates can be added to a Client Shortlist at once.
Within a Vacancy Record > Candidates tab > Shortlists section; select Candidate(s) using the blue tick-boxes, select the Mercury button, then select Client Shortlist from the drop-down menu.
This will update the Status Reason to Client Shortlisted.
Interview
NOTE: Multiple Candidates can be submitted to interview at once but are processed one at a time. Refer to the Processing 1 of X Candidates message and the Apply To Remaining toggle at the bottom of the panel.
First, select the Interview Stage:
Along with selecting an Interviewer; Client Contacts from the Client will be shown first, then any associated Client Contacts from within the hierarchy (alphabetically ordered).
Then select the Interview Type:
Then, dependent on what interview type is selected:
Face-to-Face: Select from a drop-down list of addresses.
Telephone: Select from a drop-down list of phone numbers saved against the Candidate (e.g. a mobile number). If there are none to choose from, a number can be typed in manually.
Video Call: Select from a drop-down list of video call types (e.g. Teams, Skype, etc.), and manually type in the video call ID.
For all types of interview, there is the option to Notify Client and/or Notify Candidate of the interview details. Toggle these on/off as required.
Reschedule Interview
We've created a new Progression stage which provides Recruiters with the ability to reschedule an Interview. This option only appears when an Interview has been logged:
When launching Reschedule you will be shown a list of any open Candidate Appointments regarding the Shortlist:
NOTE: This is only if your optional workflow is configured to create Appointments. Automatic creation of an Appointment is triggered from:
You are unable to proceed until you cancel (via the X) the appointment. You will be prompted to confirm and will be given the option to create a new Interview by slecting the tick-box:
The appointment will be updated to a status of Cancelled:
The original Shortlist Update will be amended to show as Cancelled and the subject appended to include RESCHEDULED:
If you do not wish to create a new Interview at the same time, then the window will close.
If selecting to create a new Interview, you will be directed to the Reschedule Interview page. You will not be able to change the Interview Stage.
If there are no Appointments, then you will be directed straight to Reschedule:

Accept Offer
When accepting an offer, Recruiters will be shown the Pay details once more, however, they will be read-only. Depending on the customer's configuration, will depend on whether Rate Frequency and Rate Type are shown.

With USE_DEFAULT_RATES_FOR_ACCEPT_OFFER set to Yes:
With USE_DEFAULT_RATES_FOR_ACCEPT_OFFER set to No:
The Confirm button will not be visible until a selection has been made in Rate Type. Users will only see Rate Types related to the Frequency:

When rejecting a Candidate for a role, users will be given the option to select a reason along with adding any information:

Once confirmed, the modal window will close. The Rejection Reason and Rejection Comments will be updated in the Shortlist record:
