A series of functional testing scenarios for customers to use.

Create Records

  1. Create a Client

Steps:1. On left-hand menu, click Clients.
2. Click ‘+New’.
3. Fill in required fields marked with *.
4. Click ‘Save & Close’.

Expected Outcome:New client created. *Approval Status moves to Pending Approval until Approved by a Manager (if Approval functionality is enabled)

 
  1. Create a Client Contact

Steps:1. On left-hand menu, click Contacts.
2. Click ‘+New’.
3. Ensure Client Contact slider is ‘Yes’.
4. Ensure Client is set to the company in Test Scenario #1.
5. Fill in required fields marked with *.
6. Click ‘Save & Close’.

Expected Outcome:New Client Contact created against Client record.

 
  1. Create a Candidate Manually

Steps:1. On left-hand menu, click Contacts.
2. Click ‘+New’.
3. Ensure Candidate slider is ‘Yes’.
4. Fill in required fields marked with *.
5. Click ‘Save & Close’.

Expected Outcome:New Candidate record is created. Only the fields manually filled in will contain data.

 
  1. Create a Candidate via Daxtra CV Parsing
Steps:1. Send an email with the Candidate CV as an attachment to your CV parsing email address (see your Project Manager for details)
2. Wait 3-5 minutes (to a maximum of 15).
3. Click ‘Contacts’ and use the search bar on the right to search for your Candidate name (or use the search bar at the top of the screen).

Expected Outcome:New Candidate record is created and populated with the CV details. CV will appear on the Documents tab of the Candidate record.
 
  1. Create a Vacancy
Steps:1. On left-hand menu, click Vacancy.
2. Click ‘+New’.
3. Fill in required fields marked with *.
4. Click ‘Save & Close’.

Shortlisting Candidates

  1. Shortlist a Candidate to a Vacancy via Quick Create
Steps:1. From a Vacancy record, click the ‘Candidates’ tab.
2. Click ‘New Shortlist’.
3. Type the Candidate name into the Candidate field and select the Candidate.
4. Fill out the remaining fields.
5. Click ‘Save and Close’.
Guide: 
Expected Outcome:Shortlist is created and shows on the Candidate tab of the Vacancy.

  1. Shortlist a Candidate to a Vacancy from the Contact record
Steps:1. From the Contact record, click the ‘Shortlist to Vacancies’ button.
2. In the ‘Lookup Records’ pane that appears, type the name of the Vacancy into the search bar.
3. Click the relevant Vacancy to select it. You can repeat steps 2 and 3 to add additional Vacancies.
4. Click ‘Add’.

Expected Outcome:A popup window on the Candidate record appears with the message ‘Shortlists have successfully been created.’ The Candidate will now appear on the Shortlist of the selected Vacancy.
  1. Shortlist a Candidate to a Vacancy from a View
Steps:1. Navigate to a Candidate View (the default View can be accessed by clicking ‘Contacts’ on the left side of the screen).
2. Select one or more Candidates by clicking the space to the left of the Candidate name. A blue circle with a checkmark will appear to indicate the Candidate has been selected.
3. Click the ‘Shortlist to Vacancies’ button in the ribbon at the top of the page.
4. In the ‘Lookup Records’ pane that appears, type the name of the Vacancy into the search bar.
5. Click the relevant Vacancy to select it. You may repeat steps 4 and 5 to add additional Vacancies.
6. Click ‘Add’.

  1. Creating an Info record
Steps:1. On left-hand menu, click Info.
2. Click ‘+New’.
3. Fill in required fields marked with *.
4. Click ‘Save & Close’.

Expected Outcome:A new Info record is created.

 
  1. Create an Info Shortlist
Steps:1. From an Info record, click the three dots button in the ‘Info Shortlists’ section.
2. Click ‘New Info Shortlist’.
3. Search the Candidate name in the ‘Candidate’ field and click to select the record.
4. Click ‘Save and Close’.

Expected Outcome:A new Info Shortlist record is created.

 

Progressing Candidates

  1. Progress a Candidate from an Info Shortlist to Submit status
Steps:1. On an Info record, click an Info Shortlist record in the ‘Info Shortlist’ section.
2. Click the ‘Progress Candidate’ button in the top ribbon.
3. Click ‘Submit’.
4. On the ‘Confirm submission details’ popup that appears, select the CV from the ‘CV’ dropdown and click ‘Send CVs by Email’ if sending the CV.
5. Click ‘Save & Close’.

Expected Outcome:The Status Reason of the selected Info Shortlist record updates to Submitted, and also updates the Submitted field to today’s date.

 
  1. Progress a Candidate from a Vacancy
 
Steps:1. On a Vacancy record with Shortlisted Candidates, click the ‘Candidates’ tab.
2. Click the space to the left of the Candidate name. A blue circle with a checkmark should appear in that space. The ‘Progress Candidate(s)’ button should likewise appear above and to the right of the Candidate list.
3. Click the ‘Progress Candidate’ button.
4. From the dropdown, select the desired Candidate status.

Expected Outcome:A popup window appears for any status except Client Shortlist. See further scenarios for steps on how to complete these popups.


For Client Shortlist, the Status reason of the Shortlist Record will update to ‘Client Shortlisted’ and the Status Update will show today’s date, but no popup window appears.

 
 
  1. Progress a Shortlisted Candidate to Submit status
Steps:1. On a record where a ‘Progress Candidate(s)’ button appears, click the ‘Progress Candidate(s)’ button and select ‘Submit’ from the dropdown.
2. In the popup window that appears, fill in the relevant financial fields.
3. Click ‘Save & Close’.
Guide: 
Expected Outcome:The Status Reason on the Shortlist record will update to ‘Submitted’. 
  1. Progress Candidate to Interview status
Steps:1. On a record where a ‘Progress Candidate(s)’ button appears, click the ‘Progress Candidate(s)’ button and select ‘Interview’ from the dropdown.
2. On the ‘Confirm interview(s)’ window that appears, enter data for the Interview Stage, Interview date, Interview time, and Interviewer fields.
3. Select the Interview Type. Depending on the selection, relevant greyed-out fields will become available.
4. Complete the newly-enabled fields.
5. Click ‘Save & Close’.
Guide: 
Expected Outcome:The Status Reason on the Shortlist record will update to the Interview Stage selected in the ‘Interview Stage’ field. The Latest Interview Date will populate with the Interview Date.
  1. Add Interview Feedback
Steps:1. From the Candidate Contact Record Click ‘As a Candidate’.
2. In the Shortlist Section, select the appropriate Shortlist by checking the Circle to the left of the Vacancy name.
3. Double Click on the highlighted Shortlist.
4. Enter feedback under ‘Latest Feedback’.
5. Click Save & Close.

Expected Outcome:Latest Feedback will now appear on Shortlist.

  1. Progress a Candidate to Offer Made status
Steps:1. On a record where a ‘Progress Candidate(s)’ button appears, click the ‘Progress Candidate(s)’ button and select ‘Offer Made’ from the dropdown.
2. On the ‘Confirm details of candidate’s offers’ window that appears, verify the information that has populated into the financial fields. This information pulls from the Shortlist record, which is populated by the data entered when submitting the Candidate to ‘Submitted’ status. If data has not populated in the financial fields, enter that data now.
3. Click ‘Save & Close’.
Guide: 
Expected Outcome:The Status Reason on the Shortlist record will update to ‘Offer Made’.

 
  1. Progress a Candidate to Accept Offer status
Steps:1. On a record where a ‘Progress Candidate(s)’ button appears, click the ‘Progress Candidate(s)’ button and select ‘Accept Offer’ from the dropdown.
2. The ‘Accept Offer’ popup will appear. Click ‘Yes’ to proceed.
Guide: 
Expected Outcome:The Status reason on the Shortlist record will update to ‘Accepted’ and a Placement will be generated.
  1. Progress a Candidate to Reject status
Steps:1. On a record where a ‘Progress Candidate(s)’ button appears, click the ‘Progress Candidate(s)’ button and select ‘Reject’ from the dropdown.
2. On the ‘Confirm rejection reason(s)’ popup that appears, select a rejection reason from the ‘Reason’ dropdown and fill in the free text ‘Comment’ field.
3. Click ‘Save & Close’
Guide: 
Expected Outcome:The Status Reason on the Shortlist record will update to ‘Rejected’. The Rejection Reason on the Shortlist record will update to reflect the selected rejection reason.
  1. Navigate to a Placement after Progressing a Candidate to Accept Offer
Steps:1. From the Vacancy record, click the ‘Related’ tab.
2. Select ‘Placements’ from the dropdown.
3. Click the Job Title of the Placement for the relevant Candidate.

Expected Outcome:The Placement record opens in the browser window.

 

Placements

  1. Manually create a Placement (where no vacancy)
Steps:1. On left-hand menu, click Placements.
2. Click ‘+New’ in the top ribbon.
3. Fill in required fields marked with *.
4. When the Placement type is selected from the ‘Type’ dropdown, the ‘Terms’ fields will generate; these fields are different for each Placement Type. Fill in all available Terms fields.
5. Click ‘Save’.
Guide: 
Expected Outcome:A new Placement is created.
  1. Validate a Placement
Steps:1. From a Placement record in Pending status, click the ‘Validate Placement’ button on the top ribbon.
2. A pop-up window will open loading all forms related to the Placement Validation. A banner (or banners, if multiple fields require additional information) at the top of the Placement Validation popup will appear if any required fields have not been completed.
3. Update the fields indicated in the banner(s) at the top of the Placement Validation popup.
4. Click ‘Finalise’. A popup should appear indicating that ‘all mandatory fields have been validated and the required information is present.’
5. Click ‘OK’ to Finalise the Placement.

Expected Outcome:The Placement will now show ‘Yes’ as Finalised in the top right corner.

 

  1. Extend a Placement
Steps:
  1. Within a Placement record, click the ‘Extension’ button in the top ribbon.
  2. Fill in the ‘Extension start date’ and enter a value for either the ‘Extend by number of weeks’ field or the ‘Extension end date’ field.
  3. Choose a rate from the ‘Extension standard rate’ dropdown.
  4. Click ‘Next’.
  5. On the ‘Create Placement Extension’ popup that appears, click ‘Yes’.
  6. A ‘Creating Placement’ message appears as the Placement is created, and a popup indicating ‘Placement extension created’ appears.
  7. Click ‘View Record’ to navigate to the Extension.

Activities

  1. Add a Task
Steps:1. On left-hand menu, click Contacts.
2. Select a Contact record.
3. In the Timeline of the form, click ‘+’ and ‘Task’.
4. The Quick Create: Task will open.
5. Complete the relevant information and click ‘Save and Close’.

  1. Add an Appointment
Steps:1. On left-hand menu, click Contacts.
2. Select a Contact record.
3. In the Timeline of the form, click ‘+’ and ‘Appointment’.
4. The Quick Create: Task will open.
5. Complete the relevant information and click ‘Save and Close’.

  1. Log a Phone Call
Steps:1. On left-hand menu, click Contacts.
2. Select a Contact record.
3. In the Timeline of the form, click ‘+’ and ‘Phone Call’.
4. The Quick Create: Task will open.
5. Complete the relevant information and click ‘Save and Close’.

  1. Add Activities from Quick Create
Steps:1. On any page in Mercury, click the ‘+’ button at the top right of the page.
2. In the dropdown that appears, select the Activity to be created.
3. Fill in required fields marked with *. Ensure that the ‘Regarding’ field is completed.
4. Click Save & Close.

Hot Lists

  1. Create a Hot List
Steps:1. On left-hand menu, click Hot Lists.
2. Click ‘+New’.
3. Fill in required fields marked with *.
4. Select either ‘As a…’ Candidate or Client Contact depending on desired Hot List type.
5. Click ‘Save & Close’.

  1. Add Contacts to a Hot List from a Contact record
Steps:1. From within a Contact record, click the ‘Related’ tab and select ‘Hot Lists’ from the dropdown.
2. Click the ‘Add Existing Hot List’ button.
3. In the ‘Lookup Records’ pane that appears, type the name of the desired Hot List.
4. Click the Hot List to select it.
5. Click ‘Add’.

Emails

  1. Send an Email
Steps:
  1. From within a Client Contact Record, click on the Activities drop down and select ‘Email to client contact’.
  2. Fill in Subject, desired fields and body as required by your organization.
  3. Click ‘Send Email’.

  1. Sending Spec Sends Directly to a Client Contact
Steps:
  1. From within a Client Contact record, click on Related.
  2. Scroll down to Spec Sends (Client Contact).
  3. Click ‘+ New Spec Send’.
  4. Complete the fields as required by your organization.
  5. Click ‘Save and Close’.

Expected Outcome:You will now be able to View your Spec Sends in the Associated view under Spec Sends.
  1. Sending Spec Sends in Bulk from a Contact View
Steps:
  1. On the left-hand menu, click Contacts.
  2. Select your Contacts by clicking to the left of the Contact name. A blue circle with a white checkmark will appear.
  3. Click the ‘@Email’ button in the top ribbon.
  4. Select ‘To Client Contact’ or ‘@About Candidate’ depending on your Spec Send.
  5. Complete the fields as required by your organization.
  6. Click the ‘Spec Send?’ button. The ‘X’ should turn into a check mark.
  7. Click ‘Send Email’.

  1. Spec Sending a Candidate from their Record
Steps:
  1. From within a Candidate Record click the ‘Related’ tab.
  2. Click Spec Sends (Candidate).
  3. Click ‘+ New Spec Send’.
  4. Complete the details, including the Client, Contact and Email.
  5. Click ‘Save & Close’.
