Shortlist Board - Candidate Shortlists

View and progress Candidates through a Shortlist using the interactive Shortlist Board

What

From a Shortlist, move a Candidate through the recruitment process from a Vacancy to a Placement, with the drag-and-drop functionality of a Shortlist Board. Any changes made will feed back to the Vacancy, Candidate, and relevant Placement records. 

 

Where

From Mercury:

Home > Vacancies > Vacancy Record > Candidates tab > Shortlists button > Board View

 

Shortlist Board view:

1. Shortlist Statuses; from here individual columns can be expanded/collapsed (Rejected is collapsed by default)

2. Search bar; searches across all fields within a shortlist, including Candidate information

3. Filter and display options: Column Visibility, Group by Substatus, Switch to Compact, and Sort (these settings are then saved for future sessions)

4. Expanded Candidate info boxes show additional information, this changes depending on the current status

 

How

Change Candidate Shortlist Status

Drag-and-drop Candidates between statuses. A grey shadow appears in the column the Candidate will move to:

Submitted

When a Candidate is updated to Submitted, the following pop-up appears. The financial details are populated from the vacancy. These can either be saved to the shortlist upon submitting, or amended and saved to the shortlist instead. 

Permanent roles: Salary and Fee % are required fields. The Fee Amount field is automatically calculated from Fee Based On and Fee %
Contract/Temp roles: Pay and Charge are required fields. Markup %, Margin %, and Margin are automatically calculated based on the values given, and cannot be overwritten. 
When complete, click Confirm to progress the Candidate. If you click Discard and Close, the Candidate will remain under their current status and no changes will be made.

Client Shortlisted 

No additional information is required when a Candidate is updated to Shortlisted. 

 

Interview

When a Candidate is updated to Interview, the following pop-up appears.
All information must be filled in before it can be saved. No information can be typed in, and must be selected from the drop-downs/toggles provided. 
When complete, click Confirm to progress the Candidate. If you click Discard and Close, the Candidate will remain under their current status and no changes will be made. 

 

Candidates at any Interview stage will have a flag added: Interview First, Interview Further, or Interview Final

 

For multi-stage interview processes or corrections required, add or reschedule an interview by selecting Options > New Interview Reschedule Interview

 

Offer Made

When a Candidate receives an offer, the same pop-up shown from the Submitted stage will be shown again in the case that any information needs a final update.

Offer Accepted (and Placement creation) 

Offer Accepted 

When a Candidate accepts an offer, the same pop-up shown from the Submitted stage will be shown again. However, no changes can be made at this stage.

A tick-box confirming the details are correct must be ticked before you can select Confirm and progress the Candidate. If you click Discard and Close, the Candidate will remain under their current status and no changes will be made. 

 

Placement Record creation

Following this, a pop-up appears to notify that a Placement record will now be created. This message will not disappear until the Close button is clicked.

2. Vacancy Record > Candidates tab > Placements

NOTE: This will only show active Placements.

 

3. Vacancy Record > Related Tab > Placements tab > Placement Associated View

NOTE: From here both the Vacancy Ref (TR/156387) and the PlacementID (016244/00/00) can be viewed for any cross-reference.

Offer Rejected

When a Candidate rejects an offer, the following pop-up appears.

The Rejection Reason is required, Additional Information in optional. 

When complete, click Confirm to progress the Candidate. If you click Discard and Close, the Candidate will remain under their current status and no changes will be made.
